Role Purpose

This is a pivotal Executive Assistant role that supports the effective running of our Reading office while enabling the General Manager and Executive Leadership Team to operate at their best. Combining executive support, operational coordination, office management and employee experience, this role is central to ensuring the site runs smoothly and efficiently every day.

As the trusted point of coordination for the Reading office, you will work closely with senior leaders, colleagues, suppliers and corporate functions to create a professional, organised and welcoming workplace. You'll anticipate needs before they arise, bring structure to a fast-paced environment and ensure that priorities, projects and day-to-day operations stay on track. How You Will Make Impact:

Executive Support & Business Coordination

  • Provide proactive executive and administrative support to the General Manager and Reading-based leadership team, ensuring priorities, meetings and follow-up actions are effectively managed.
  • Coordinate complex diaries, meeting agendas, actions, travel arrangements, visitor schedules and logistics.
  • Prepare high-quality presentations, reports, communications, briefing materials and business documentation.
  • Support governance routines by maintaining accurate records, tracking actions and ensuring deadlines are followed are met.
  • Handle confidential information with discretion, professionalism and sound judgement.

 

 

Office Management & Facilities Coordination

  • Act as the primary point of contact for office services, facilities providers, site support vendors and general office enquiries.
  • Coordinate workspace allocation, meeting room management, visitor arrangements and office readiness.
  • Help maintain a safe, professional and welcoming environment for colleagues, visitors and external partners.
  • Support workplace improvements, employee wellbeing initiatives and Health & Safety activities relating to the office environment.

 

Financial, Procurement & Supplier Administration

  • Raise purchase orders, support invoice processing and coordinate supplier onboarding and contract administration.
  • Track departmental expenditure and support basic budget monitoring to ensure accuracy and visibility.
  • Liaise with Procurement and Finance to support timely processing, compliance and resolution of queries.
  • Maintain organised records for suppliers, services, approvals and recurring office-related expenditure.

 

Employee and Visitor Experience

  • Coordinate visitor programmes, onboarding logistics, induction arrangements and site access.
  • Support new starter readiness, including workspace, equipment, access and local orientation arrangements.
  • Contribute to employee engagement events, leadership visits, workshops and off-site activities.
  • Act as a professional ambassador for the Globe site, creating a positive and consistent experience for employees and guests.

 

Project and Operational Coordination

  • Support site and cross-functional projects through effective planning, coordination and follow-up.
  • Track actions, milestones, deliverables and dependencies, escalating issues where appropriate.
  • Prepare concise updates and management reporting to support decision-making and visibility.
  • Identify opportunities to simplify, standardize and improve office and business support processes.

You will bring:

  • Previous experience in an Executive Assistant, Business Support or Senior Administrative role, supporting senior leaders in a fast-paced environment.
  • Proven ability to manage multiple priorities, competing deadlines and diverse stakeholders while working independently and exercising sound judgement.
  • Experience supporting office operations, including supplier management, purchase orders, invoice processing and general administrative processes.
  • Confidence working in a confidential, service-oriented environment where professionalism, discretion and attention to detail are essential.
  • Excellent organisational, planning and coordination skills, with the ability to anticipate needs and consistently follow through on commitments.
  • Strong written and verbal communication skills, with the ability to produce professional presentations, reports and business correspondence.
  • Advanced Microsoft Office skills, particularly Outlook, Teams, PowerPoint, Word and Excel.
  • A proactive, practical and customer-focused approach, with a natural ability to solve problems, improve processes and take ownership of tasks.
  • Strong relationship-building skills, enabling you to work effectively with senior leaders, colleagues, suppliers and external partners across all levels of the organisation.
