Transport Operations Coordinator

Place of work: Belgrade

Required qualification:

• High-school diploma or faculty diploma in economics/business administration or formal vocational training related with freight forwarding
• Minimum 1-3 years’ experience in operational transport ordering and invoice review at either a pharmaceutical company or a logistics service provider, covering the life science/pharma industry
• Proven knowledge of air and ocean freight transport operations, including customs
• Knowledge of GDP-requirements
• Good SAP & MS Excel knowledge
• Analytical Skills
• Fluency in English
• German B1 level or similar

Job Description:

Transport Ordering:

• Organize transport via road, air, and sea with STADA approved carriers incl. import and export with customs (EU / non-EU) including creating accompanying documents and follow-up on orders (major part will be incoming and outgoing from Germany)
• Processing and managing orders in our SAP WMS, incl. creating pick lists for our German warehouse
• Coordinating with suppliers, carriers, customs, customer service or procurement, warehouse, as well as authorities
• Providing support to others in case of transport problems, damages, projects and/or audits
• Main contact for our local carriers in all transport related initiatives and processes.

Invoicing:

• Reviewing each invoice from transport companies and customs brokers and checking for validity; approval of invoices; booking of goods receipt against purchase orders
• Creating reports for transport cost such as demurrage per carrier per timeline, lead-time adherence, or invoice correctness, using available systems wherever possible, and manual collection where not available
• Analyzing invoice data and providing insights for root cause investigations and cost savings opportunities
• Facilitating KPI-meetings with transport companies
