Head of KZ Warehouse and Logistics
Almaty | Kazakhstan (KZ) | Full-time | Permanent | Procurement & Supply Chain | Professionals
Key Responsibilities
1. Contracts and Docs Management
- Together with other departments manage and maintain contracts with service providers, distributors and suppliers.
- Ensure proper documentation flow between the company, suppliers, and distributors.
2. Customs and Regulatory Compliance
- Interact with customs authorities regarding declarations, inspections, and certification.
- Collaborate with the regulatory department to ensure compliance with local and international requirements.
- Consult internal departments on logistics-related matters (customs clearance of samples, shipments, logistics data).
3. Transportation and Insurance
- Coordinate with transport companies for vehicle loading, shipment control, and timely deliveries.
- Arrange cargo insurance.
4. Warehousing and Stock Control
- Together with 3PL service operator ensure the smooth warehousing operations including receiving, storage and deliveries.
- Ensure logistic quality release like visual goods inspection, quantities, expiration dates, batches and etc. (based on SOP)
- Sign and manage internal warehouse documents, specifications, and shipment records.
- Participate in inventory counts and reconciliation with production reports.
5. Returns and Non-Conformance Management
- Manage returns process/based on SOP.
- Review and sign non-conformance acts, providing documentation to the quality department and accounting.
- Organize destruction of non-conforming products: documentation, weighing, shipment control, and disposal site visits.
6. Financial and Accounting Support
- Prepare and provide cost allocation for goods to accounting.
- Check and verify invoices from service providers.
- Sign and transfer shipping documents to distributors’ forwarders.
7. Quality, T&T and SOP Management
- Collaborate with QA department on compliance-related issues.
- Collaborate with T&T team executing it`s requirements.
- Order and coordinate stickers for printing and product labeling.
- Draft, update, and implement Standard Operating Procedures (SOPs) related to logistics and warehouse processes.
8. Administrative Support
- Prepare tables and reports/monthly or on demand.
Required Professional Knowledge & Skills
- Master’s degree in Pharma.
- At least 3 years of working experience in pharmaceutical distribution company
- Valid pharmaceutical license.
- Knowledge of logistics management and customs regulations.
- At least 3 years of experience in warehouse operations, stock control, and inventory management.
- Financial literacy and ability to manage the logistics costs.
- Quality assurance and handling of non-conforming goods.
- SOP drafting and regulatory compliance.
- Proficiency in MS Excel, ERP systems, and documentation management.
- English language (intermediate)
